What is the difference between an active and inactive child profile? 


Active profiles are for children currently attending the nursery for whom you will still be adding new records such as observations, daily diaries, invoices, etc.

Inactive profiles are for children who are no longer attending the nursery. Inactive profiles are read-only so you won't be able to add any new content such as observations, daily diaries, comments, etc.  Parents can only access inactive profiles for the first 60 days after the profile has been made inactive.


What happens when I make a child’s profile inactive?


Once a child profile is made inactive, it is moved to the inactive child list and becomes read-only meaning you cannot add any new content such as observations or daily diaries. 


61 days after the inactive date parent’s will lose access to the profile & we delete media files associated with the profile excluding those in accident sheets and medicine forms. There is more information on this below. 


Exactly what data is deleted when I make a child profile inactive?


Nothing is deleted until 61 days after the profile is made inactive. After the 61 days we permanently delete all photos, videos, audio files, & attachments associated with the child excluding those on accident/incident sheets & medicine forms. Please see the full list of deleted files below.

Please note: If there are any pending eylog Memories orders for the child profile we won’t delete the media files until the order has been shipped.


What about photos of the child that are in group observations which have also been added for other child profiles?


As eylog has no way to recognize which children are in a photo, these photos will remain visible on the group observations. 


Can I make inactive profiles active again and what happens?


You can make the profile active again at any time. If the profile is reactivated before the date of the media deletion then this will cancel the media deletion. Making the profile inactive again will re-set the media deletion date to 61 days after the new inactive date.

If you reactivate the profile after the media has been deleted you will still be able view the written records however the media will no longer be visible except on accident sheets & medicine forms.


Is there a limit on how many inactive child profiles I can have?


The child limit for your license only applies for active child profiles. There is no limit to the number of inactive children you can have on your system.
