Go to the System Settings, then HR from the menu to view the new layout and set up the default sickness and holiday entitlement for all staff. 


Entitlement Period: 

The default entitlement period that we set for you is January - December, however you can change this as required to other monthly combinations.


Holiday Entitlement:

The default number of days holiday should be set to the UK government minimum of 28 days which is 20 days plus 8 bank holidays, unless you offer more than 28 days per year as a baseline. The eyMan system will pro rata this value for part time staff.


If staff receive additional days holiday based on the number of years of service, please enter these values. In this example, staff receive an additional day for every year of service up to a maximum of 3 days, so we enter 1 as the frequency entitlement year, 1 as the number of days to increment (Holiday entitlement increase (days)), and 3 as the maximum length of service for which the additional days will be accrued. Additional days are added in the holiday year following the first complete year of service, so a staff member who starts on the 1st July 2020 would be entitled to the pro-rata value of 28 days until 31st December 2020. In 2021 they would complete their first full year of service, so their entitlement would remain as 28 days and then increase in 2022 to 29 days, then again to 30 days in 2023 and 31 days in 2024. Entitlement would then remain at 31 days for subsequent years.

Entitlement year January – December 2020: No. of days = pro rata value 28 days

Sickness Entitlement:

The default number of paid sick days that would be assigned to staff as a baseline. The eyMan system will pro rata this value for part time staff. By default, this would be set as zero when we setup your system.

 

If staff receive additional paid sick days based on the number of years of service, please enter these values here. For example, if staff receive 3 sick days then an additional day for every year of service up to a maximum of 3 days, you would enter 1 as the frequency entitlement year, 1 as the number of days to increment (Sickness entitlement increase (days)), and 3 as the maximum length of service for which the additional days will be accrued. Additional days are added in the contract/entitlement year following the first complete year of service, so a staff member who starts on the 1st July 2020 would be entitled to the pro-rata value of 3 days until 31st December 2020. In 2021 they would complete their first full year of service, so their entitlement would remain as 3 days and then increase in 2022 to 4 days, then again to 5 days in 2023 and 6 days in 2024. Entitlement would then remain at 6 days for subsequent years.

Other Entitlements:

Lunch break/reduction (hours)

The default value is set to 0.5 hours when we set up your system. This means that for every shift over 6 hours that a staff member works, the system will automatically deduct half an hour from their total hours worked. This is age dependent - it will be deducted for any shift over 4 hours for a staff member under the age of 18.

 

Training Entitlement

Here you can enter the number of paid training days that staff are entitled to receive. The eyMan system will calculate this value in hours for each staff member based on their contracted hours and number of days worked. In this example of 2 days, staff members working 40 hours per week over 5 days would receive 8hr x 2 days, totalling 16 hours training. This is deducted when the paid training activity is scheduled for staff.
