When the user adds a child, they can continue the process to create a schedule for that child. Alternatively, the child’s schedule can be created separately. To access the child’s schedule, click on the Children menu option on the main menu on the left-hand side of the screen. This will open a grid view of child profile summary boxes. To open the child scheduling page, either click on the calendar icon in a child’s profile summary box or click on a child’s name to open their profile and select the Child Scheduling section.

  1. A summary of the child’s profile is displayed here. The child’s profile photo, name and age in years, months and days are shown. The room the child will be scheduled into is also displayed.
  2. The schedule automatically displays the current week. The user can click on these buttons to change the week they are looking at.
  3. The schedule automatically opens in a week view. The user can switch to a month view or day view by clicking on these buttons.
  4. The user can change the week they are looking at by clicking on the ‘Show Calendar’ button. This will open a calendar from which the user can select the required date.
  5. The child’s schedule will be shown here. To create a new schedule, the user should click in one of the fields to open a ‘Book a Session’ form. The user can also create an absence for a child by clicking in the ‘all-day’ section to open a ‘Create – Absence’ form. Schedules and absences can only be created in the daily or weekly view.


The user can create a schedule by clicking on one of the empty fields. This will open a Book a Session form in which the user can book a pattern for a session type.

  1. The room the child will be entering can be selected from this drop-down menu. If the user set a preferred room when adding the child, that room will appear here by default.
  2. The session type the user is booking can be selected from this drop-down menu. The options in this drop-down menu are the active sessions created in the System Settings. For more information on how to create session types please refer to the System Settings -> Session Types documentation on the Support Portal. If the user set a preferred session type when adding the child, that session type will appear here by default.
  3. The start date of the session pattern can be input here. This will be automatically set as the date the user clicked on to create the session pattern. The user can change the date by clicking on the field to open a calendar on which the user can select the required date.
  4. The finish date of the session pattern can be input here. If the user has selected ‘No Repeat (Only On This Day)’ from the Repeat drop-down menu, this date will be the same as the start date, i.e. the user is creating a one-off session. If the user has selected ‘Weekly (On Selected Days)’ from the Repeat drop-down menu, this date will be set to the leave date of the child unless a different date has been previously entered. The user can change the finish date by clicking on the field to open a calendar from which the user can select the required date.
  5. The start time of the session will automatically appear in this field once the session type has been selected. The user can only change the start time of the session if ‘allow booking between start and finish time’ was ticked when the user created that session type. For more information please refer to the System Settings -> Session Types documentation on the Support Portal.

  7. This drop-down menu is used to determine how the session pattern is repeated. This is automatically set as ‘No Repeat (Only On This Day)’ by default. If the user ticks more than one day in the ‘Repeat On’ section, this field will automatically change to ‘Weekly (On Selected Days)’.
  8. The user can select the days on which this session should be repeated. The days displayed here are the core days as set up in the System Settings. For more information on setting up core days, please refer to the System Settings -> Branch/Nursery Settings documentation on the Support Portal.
  9. The summary box displays which repeat option the user has chosen.
  10. This tick box allows the user to indicate whether this session is a one-off extra session and should therefore be excluded from funding.
  11. This section needs to be ticked if the child is being ticked as a pattern change from there usual sessions.
  12. A list of the products/services the user created in System Settings will be displayed here. The tick boxes allow the user to select on which days the child receives that product/service. These products/services will be shown on the child’s schedule if this option was selected when creating the product/service and will be included on the child’s invoice unless the product/service is marked as included in the session cost. For further information on creating products/services please refer to the System Settings -> Products and Services documentation on the Support Portal.


Once the schedule has been created, the session patterns will appear on the child’s schedule. These session types will be colour coordinated using the colour selected when creating the session type. The schedule can be viewed in week, month, or day view. In week and month view, the current day will be shaded in grey.

If the user ticks the box ‘Extra Sessions/Exclude from funding’ when creating the session, a flag will appear in the top-right hand corner of the session on the schedule to make it easily identifiable as an extra session.

To edit a session the user can double click on the session they wish to change and overwrite the relevant fields in the form that appears. Upon clicking ‘Update’ a pop-up window will open asking the user which sessions they wish to apply the changes to. Clicking on ‘Only this session’ means the changes will only be applied to the session initially selected. Clicking on ‘Following sessions’ means the selected session and all following sessions in that booking pattern will be changed. Clicking on ‘All sessions’ will apply the changes to all the sessions in that booking pattern.

To delete a session the user can double click on the session they wish to delete and click the ‘Delete’ button at the bottom of the form that appears. This will open a pop-up window which will ask the user which sessions they would like to delete. Clicking ‘Only this session’ will only delete the session initially selected. Clicking ‘Following sessions’ will delete this session and the following sessions in that booking pattern. Clicking ‘All sessions’ will delete all the sessions in that booking pattern.

The user can create a child absence by clicking in the ‘all-day’ section of the schedule on the relevant date. The user can also click on one date and drag their cursor to another date to create an absence over multiple days. This will open a ‘Create – Absence’ form in which the user can enter details about the absence.

  1. The start date of the absence can be entered here. By default, this will be the date the user clicked on to create the absence, but it can be manually changed by clicking on the field and selecting the required date from the calendar that appears.
  2. The end date of the absence can be entered here. By default, this will either be the same as the start date or the date the user dragged their cursor to. The date can be manually changed by clicking on the field and selecting the required date from the calendar that appears.
  3. These tick boxes are used to indicate the type of absence, either sick, holiday or absent.
  4. The user can add additional notes about the absence in this field.
  5. This tick box is used to indicate whether any sessions on this day should be excluded from the child’s invoice.


Clicking ‘Save’ will display the absence on the child scheduling screen. The user can click on the absence to view the absence details, update the absence details or delete the absence.
