The main Dashboard page displays charts and graphs for the current week and month, providing a summary of different sections of the system. There are seven sections on the Dashboard:

  • Child Bookings
  • Income Forecast
  • Average Occupancy/FTE
  • Overdue Invoices
  • Enquiries
  • Notifications
  • Staff Events/Documents


Child Bookings


The Child Bookings graph shows the occupancy of each room for the chosen day. The graph shows the occupancy for all the operation days and times of the nursery, as set up in the System Settings.

  1. The user can change the week being displayed by clicking on these arrow icons. The graph will automatically display data from the current week.
  2. The dates of the week being displayed are shown here.
  3. The graph can be refreshed by clicking on this icon.
  4. The user can change the day being displayed by clicking on the relevant tabs. The days displayed are base on the operational days of the nursery, as set up in the System Settings. The graph will automatically display data from the current day.
  5. A summary of the occupancy for each room is displayed here. It shows the colour of the room, the name of the room, the child limit of the room (in square brackets) and the average occupancy of the room for that day. The room’s name, colour and child limit are those selected when creating the room in the Global Settings or System Settings. The average occupancy is calculated using the operational hours of the nursery.
  6. The graph shows the number of children in each room at each hour of the day. The hours are based on the operational hours of the nursery, as set up in the System Settings.


Income Forecast


The income forecast shows the total income predicted for that month. This box contains two sections (sessions/products and rooms/groups) which can be accessed via the respective tabs.


Invoices can be charged in two ways: actual sessions or equally spread (for more information on this please refer to the System Settings -> Invoice/Payment Settings). The examples below are based on actual sessions invoices, where the system knows exactly which sessions/rooms it is charging for. If the user selects equally spread invoices, the system will use the preferred session and preferred room on a child’s profile to calculate the income forecast.


The sessions/products pie chart shows a break down of the total monthly income into the session types and products created in the System Settings. This chart also includes the income generated through two- and three-year funding.

  2. The month the user is looking at data from is displayed here. This is set as the current month by default.
  3. The total predicted income for the month is displayed here. This value should match the monthly income report.
  4. The user can refresh the chart by clicking on this icon.
  5. These tabs can be used to switch between the session/products chart and the rooms/groups chart. The session/products chart will be displayed by default.
  6. The pie chart breaks down the total monthly income into the income brought in by each session and the products/services available. There are also sections for the money brought in by two- and three-year funding.


The rooms/groups pie chart shows a break down of the total monthly income into the rooms and groups set up in the System Settings. This chart also includes the two- and three-year funding, as well as the funding reduction. The funding reduction is the amount taken off the price of a session for funded children. Therefore, the user would want the funding reduction to be equal to the sum of the two- and three-year funding.

  2. The month the user is looking at data from is displayed here. This is set as the current month by default.

Average Occupancy/FTE


This box contains two graphs which summarise the occupancy of the nursery. The first graph shows the average occupancy for the nursery that month. The second graph shows the average FTE for the nursery that month. For further information on occupancy charts, please refer to the Occupancy Charts section of the Support Portal.


The average occupancy graph shows the average occupancy for each room over the month.

  1. The user can change the month being displayed by clicking on these arrows. The graph will automatically display data from the current month.
  2. The month the user is currently looking at the data from is displayed here. This is set to the current month by default.
  3. The user can refresh the graph by clicking on this icon.
  4. These tabs can be used to switch between the average occupancy chart and the average FTE chart. The average occupancy chart will be displayed by default.
  5. This information displays the total child limit for the nursery (in square brackets) and the average occupancy for the nursery in that month.
  6. This graph shows the average occupancy for each room for that month. The child limit of each room is stated next to each room name. If the user hovers their cursor over one of the bars, a pop-up box will appear showing the name, child limit and average occupancy of the room.


The average FTE graph shows the average full-time equivalency for each room for the month. FTE uses a single measurement to account for variations in session types such as full day, morning, afternoon etc. For further information on FTE, please refer to the Occupancy Charts section of the Support Portal.

Overdue Invoices


This box shows the overdue invoices for the month, listed by smallest amount first. For further information on invoices, please refer to the Invoices page on the Support Portal.

  1. The user can change the month being displayed using these arrow icons. The list will automatically display the overdue invoices for the current month.
  2. The month the overdue invoices are from is displayed here. This is set to the current month by default.
  3. The user can refresh the list by clicking on this icon.
  4. The name of the child and the total amount overdue is displayed on the left-hand side of the list.
  5. The invoice due date is displayed on the right-hand side of the list. Above the date is an eye icon which, when clicked on, opens the relevant invoice.


Enquiries


The enquiries box is split into five tabs: enquiries conversion, new enquiries, open enquiries, visits and follow ups. This box takes data from the Enquiries section and displays it using charts and lists. For further information on creating enquiries, please refer to the Enquiries page on the Support Portal.


The enquiries conversion chart shows how the status of an enquiry has changed throughout the month. The chart gives the percentage of enquiries sorted as not enrolled, waitlisted and enrolled.

  2. The month the chart is displaying data from is displayed here. This is set to the current month by default.
  3. The user can refresh the chart by clicking on this icon.
  4. The user can switch between the enquiry tabs here.
  5. This chart shows the percentages of enquiries in each status. The statuses include not enrolled, waitlisted and enrolled.


The new enquiries section lists all new enquiries that have come in that month.

  1. The user can change the month using these arrows. The list will automatically show the new enquiries for the current month.
  2. The month the new enquiries were made in is displayed here. This is set to the current month by default.
  3. The user can click on this icon to refresh the list.
  4. The user can switch between the enquiry tabs here.
  5. The child’s name, status (not enrolled, waitlisted or enrolled) and the branch the child attends is displayed on the left-hand side of the list.
  6. How long ago the enquiry was made is stated on the right-hand side of the list. The user can click on the eye icon to view the enquiry form.


The open enquiries section lists the children whose enquiries are still open (i.e. their status is ‘not enrolled’). This is a list of all children with open enquiries, not only children from the current month.

  2. The month the user is currently looking at the data from is displayed here. This is set to the current month by default.
  3. The user can click on this icon to refresh the list.
  4. The user can switch between the enquiry tabs here.
  5. The child’s name and the branch they attend are displayed on the left-hand side of the list.
  6. How long ago the enquiry was made is displayed here. The user can click on the eye icon to view the enquiry.


The visits section lists the children who have attended a visit to the nursery.

  1. The user can change which month’s data they are looking at by clicking on these arrows. The list will automatically display data from the current month.
  2. The month the user is currently looking at the data from is displayed here. This is set to the current month by default.
  3. The user can refresh the list by clicking on this icon.
  4. The user can switch between the enquiry tabs here.
  5. The child’s name, status (not enrolled, waitlisted or enrolled), the staff member who took the visit and the room the child is wishing to join is displayed on the left-hand side of the list.
  6. Whether or not the child has attended a visit and the date and time they visited are displayed on the right-hand side of the list.
  7. The user can view the enquiry form by clicking on the eye icon in the top right-hand corner of the list.


The follow ups section contains a list of the enquiries which have been followed up.

  1. The user can change which month’s data they are looking at by clicking on these arrow icons. The list will automatically display data from the current month.
  2. The month the user is currently looking at the data from will be displayed here. This will be set to the current month by default.
  3. The user can refresh the list by clicking on this icon.
  4. The user can switch between the enquiry tabs here.
  5. The child’s name, status (not enrolled, waitlisted or enrolled), the staff who is taking the enquiry and the child’s preferred room is displayed on the left-hand side of the list.
  6. Whether or not the enquiry has been followed up and the date and time that they were followed up is displayed on the right-hand side of the list.
  7. The user can view the enquiry form by clicking on the eye icon.


Notifications


The notifications box lists birthdays, events and holidays for children and staff. The data that populates these lists is entered into the system on the child/staff profile forms and the calendars.

  1. The user can change which month’s data they are looking at by clicking on these arrow icons. The list will automatically display data from the current month.
  2. The month the user is currently looking at the data from will be displayed here. This will be set to the current month by default.
  3. The user can refresh the list by clicking on this icon.
  4. The user can change which notification list they are looking at by switching between these tabs.
  5. Information about the child or staff member is displayed on the left-hand side of the list.
  6. The date of the event is displayed on the right-hand side of the list.


Staff Events/Documents


This box lists the staff events and documents that are upcoming in this month. Notifications will only show here if the notification tick boxes were ticked when creating the event/document type in the System Settings.

  1. The user can change which month’s data they are looking at by clicking on these arrow icons. The list will automatically show data from the current month.
  2. The month the user is currently looking at the data from will be displayed here. This is set as the current month by default.
  3. The user can click on this icon to refresh the list.
  4. The user can switch between events and documents notifications using these tabs.
  5. The notifications will be displayed in this box, showing the name and dates of the event/document.


All Notifications


The user can access a list of all the notifications by clicking on the bell icon in the top right-hand corner of the Dashboard screen. Access to notifications is controlled by a user with Company Admin access rights. For further information on access rights, please refer to the eyMan Access Levels documentation on the Support Portal.

When clicking on this icon, a list of the most recent notifications will appear. The user can click on the notification to see more details or click on ‘View all notifications’ to view a list of all the notifications received. This list is split into seven sections, each accessible via a tab. The sections are: enquiries, registration forms, child profile forms, staff profile forms, staff holidays, payments and system.

  • Enquiries
    This tab lists the enquiry forms that have been submitted. By clicking on one of the notifications the system will link the user to the Enquiry section and open the relevant completed enquiry form.
  • Registrations Forms
    This tab lists the registration forms that have been submitted. Clicking on one of these notifications will open the completed registration form.
  • Child Profile Forms
    This tab lists any child profiles that have had changes made to them. Clicking on one of the notifications will take the user to a ‘Child Profile – Changes’ screen which shows details of which fields have been edited on the child profile form. It provides both the previous and the new value for clarity.
  • Staff Profile Forms
    This tab lists any staff profiles that have had changes made to them. Clicking on one of the notifications will take the user to a ‘Staff Profile – Changes’ screen which shows details of which fields have been edited on the staff profile form. It provides both the previous and the new value for clarity.
  • Staff Holidays
    This tab lists any holidays that have been requested by staff members. Clicking on one of the notifications will open a pop-up window showing details of the requested holiday.
  • Payments
    This tab lists any payments that have been added to the system, listing the payment amount and the child the payment was added for. By clicking on one of the notifications the system will link the user to the Payments section and open the relevant payment form.
  • System
    This tab lists any system notifications, such as release notes. Clicking on a notification will open a new web page, where the user can read details on the release notes.
